Questions, Answered
Still wondering if Stowley fits your operation? Get in touch and we'll answer anything you don't see here.
Getting Started
How long does it take to get up and running?
Most teams are operational within a day. Create an account, import inventory from a spreadsheet, invite your staff, and start sending invoices. Premium and Enterprise customers get an assisted onboarding session where we set up locations, categories, and your first batch of clients with you.
Do I need to install anything?
No. Stowley runs in the browser on any modern device: desktop, tablet, or phone. Your warehouse staff can scan QR codes from a phone camera without a separate app.
Can I try it before I buy?
Yes. Open the live demo right now (no account needed, just an email) to explore the full app pre-loaded with sample data. Your demo workspace is private to you and is removed after two hours, so you can break things freely.
What industries is Stowley built for?
We focus on valet and wine storage, moving and storage-in-transit, white-glove delivery, interior design receiving, fine art, event and AV rental, and boutique 3PL operators. Anywhere a team is tracking high-value items on behalf of clients, Stowley fits.
Pricing & Billing
Can I change plans later?
Yes. Upgrade or downgrade any time from Account Settings. Upgrades take effect immediately and your card is charged the prorated difference. Downgrades also take effect right away, and the unused part of the higher plan is applied as a credit to your next invoice. Credits are not paid out as refunds.
What happens if I exceed a plan limit?
We'll flag it in the app and prompt you to upgrade. You can't add more items, warehouses, or seats past the limit until you do, but nothing you already have is deleted or locked.
How does billing work?
Subscriptions are charged in advance for the billing period you choose (monthly or annual) and auto-renew until you cancel. By signing up you commit to the full period. Canceling stops future renewals but doesn't end the current term early.
Do you offer annual billing?
Yes. Annual billing saves up to 34% versus monthly across every tier. Annual plans are billed upfront for the full year and are non-refundable. If you switch to monthly partway through, the unused part of the year is credited to your future invoices, not refunded.
Is there a setup fee?
No. Basic, Advanced, and Premium are pure subscription pricing. Enterprise customers pay a one-time onboarding fee that's quoted with the contract.
What's your refund policy?
All fees are non-refundable, including unused time on monthly or annual plans, partial periods after cancellation, downgrades, and account suspension or termination. We don't refund for the unused portion of a billing cycle. The sandbox lets you try the full app before signing up, so please use it. We'll always honor refunds where required by applicable law.
Data & Migration
Can I import from a spreadsheet?
Yes. Bulk import accepts any CSV with one row per item, and exports from Sortly and Extensiv are recognized outright. Columns are matched loosely, unknown ones become custom fields, and you preview every row before anything is written. Templates and the full column list are on the Migrate page.
Can Stowley send invoices to QuickBooks or Xero?
Yes. The Billing page exports invoices in the layout of QuickBooks Online's invoice import and of Xero's sales invoice template, plus a payments file with the Stripe reference for each payment. Payments you record as received outside Stowley, such as a deposit or a check, are listed in that file on the date they came in. Add an accountant email under Integrations and the three files go out automatically on the first of every month.
Do you have an API or webhooks?
Enterprise workspaces get HMAC-signed outgoing webhooks when an invoice is sent, goes past due, or is paid, when requests change, and when items arrive, plus read-only inventory and invoice feeds as JSON or CSV, per client or for the whole organization. That is enough for Zapier, Make, HubSpot, and most in-house systems. The developer docs at /developers show the exact shapes.
Who owns my data?
You do. You can export your inventory, clients, invoices, and audit log to CSV any time. If you ever cancel, you keep an export. We don't hold data hostage.
Can I bring my own client list?
Yes. Import your client list from a CSV, and each client gets a portal access code automatically.
Security & Access
How is my data protected?
Every organization's data is isolated at the database layer with row-level security policies. Data is encrypted in transit (TLS 1.2+) and at rest. See the security page for details.
Can I control what my staff can see?
Yes. Owners and admins manage the team, settings, and billing, while members handle day-to-day records. Crews work from the mobile Field view, and each person's calendar feed can be limited to the jobs assigned to them.
Do you keep an audit trail?
Every plan does. Stowley records who changed what and when across inventory, service requests, clients, locations, invoices, and your team, from the web app, the mobile app, and the client portal. How far back you can look depends on plan: Basic keeps a rolling 30 days, and Advanced, Premium, and Enterprise keep unlimited history.
Integrations
How do payments work?
We connect to Stripe via Stripe Connect. Your clients pay invoices by card or ACH directly from their portal; payouts hit your Stripe account on Stripe's normal schedule.
Can I bill a whole term or package up front instead of monthly?
Yes, on every plan. Under Settings, Billing, Term pricing you name the terms you sell (4 months, 12 months, an event) and set a price per item category for each. On a client's Invoices tab, Term invoice counts what they have in storage by category and drafts one invoice for the whole term, which you review and send like any other.
A client paid a deposit on my website, or sent a check. Can I record that?
Yes. Open the invoice's menu and choose Record payment received. Enter the amount, how it came in, the date, and a reference. The invoice keeps its full total, shows the payment as a line, and the balance due is what the pay link charges. Several payments can be recorded on one invoice, so partial payments work too, and when the balance reaches zero the invoice can be marked paid in the same step.
Can someone other than the client receive the invoices?
Yes. Each client can have a billing contact, such as an accounts payable department or a family member, who receives the invoices, receipts, and payment reminders. The client keeps their portal access and item notifications, and you can copy them on billing emails too.
Do you integrate with ShipStation?
Yes, on Advanced and up. Connect your ShipStation v2 API key on Account Settings → Integrations and shipping service requests get live multi-carrier rate-shop, one-click label purchase as a PDF or a thermal label, and automatic tracking-number capture. You can void a label from the request and bill postage back to the client with your own markup. ShipStation issues API keys on its Standard plan and above.
Does Stowley work with Shopify and Amazon orders?
Yes, through ShipStation. Connect your Shopify, Amazon, or other stores to ShipStation as usual, then switch on shipment sync in Stowley. Every label your team creates in ShipStation becomes a completed shipping request in Stowley with the order number, carrier, tracking, and cost, and the shipped items are checked out of inventory automatically. Lines are matched by SKU, each store can be mapped to a client, and anything that does not match is flagged for review. A Check SKUs preview shows what will match before you switch it on.
Can Stowley send text messages to my clients?
Yes, on Advanced and up. Clients opt in from their portal, or you record the consent they gave you, and you choose which events send a text: crew en route, request completed, items received, message replies, invoice past due, and auto-pay failed. Texts go to US and Canadian numbers between 8am and 9pm in your timezone, every message names your company, and a client can reply STOP to opt out at any time.
Do you integrate with accounting software?
We export invoices and payments as CSV files shaped for QuickBooks Online and Xero, and on Premium and up the monthly accountant email delivers them automatically. Direct API integrations are on the roadmap.
Can I sync my calendar?
Yes. The team schedule publishes a private iCal feed you can subscribe to from Google Calendar, Outlook, or Apple Calendar.
Support
How do I get help?
Every plan includes email support. Premium and Enterprise add priority response times and a dedicated channel. We don't hide support behind a paywall.
Where can I send feature requests?
Email us or use Contact support inside the app. We read everything and prioritize what we hear most. Enterprise customers can request roadmap calls.
