Before Stowley
- The cellar list lives in a spreadsheet and a collector's memory
- A pull for dinner means a phone call and a search of the racks
- Per-case billing recalculated by hand every month
Wine storage
Collectors trust you with wine they cannot replace. Stowley gives your cellar a record to match: each case photographed, valued, and racked to a bin, storage billed per case or per locker on the first of the month, and a portal where a collector requests a pull for Saturday dinner instead of calling the cellar.
Capabilities
Every capability below ships in Stowley today. No add-ons, no roadmap promises.
Each case is an item with photos, insured value, condition, and a bin in a vault. Loose bottles consolidate into a cellar case with a bottle count you update on every partial pull. Add your own fields for vintage, producer, and format.
Model the cellar the way it is built: a vault, a rack or locker row, and a bin. Large formats get their own rack. Search any producer and walk straight to the case.
Log receiving checks and quarterly fill-level inspections as condition entries on the case, with photos. When a collector or an appraiser asks, the case history answers.
Bill per case stored or a flat locker rental, with a monthly minimum if you have one. Invoices generate on the billing day, email themselves, and charge the card on file through Stripe. Add receiving, pull, and delivery fees as lines on the next invoice.
Collectors see their cases with photos, request a pull or a delivery, tell you a lot is arriving from auction, message the cellar, and pay invoices. Restaurant wine directors submit the Tuesday pull list the same way.
Keep auction invoices and provenance letters in the client's Documents tab (Premium and up), and photograph capsules and fill levels at receiving so the item record carries its own proof.
A pull to a dinner, a weekly restaurant delivery, and a consolidated shipment to an auction house are all service requests with a date, an assignee, and per-item outcomes. Buy shipping labels inline through ShipStation on Advanced and up.
Print QR labels for every case and scan with any phone camera to move it between vaults or confirm a pull. Every scan lands in the item's audit log.
Getting started
Log the case with photos, value, and fill-level notes at the bench.
Scan it into a vault bin. Set per-case or locker billing once.
Pulls come in through the portal; invoices charge themselves.
Live demo
Open a demo loaded with vaults and lockers, private collectors, a restaurant group, an estate in probate, and per-case invoices. Request a pull from the portal, log an inbound auction lot, and watch the billing day run.
Quick email check-in for a demo. No strings attached.
